Customers¶
What this screen is for¶
Customers is your list of the companies and people you move goods for. For each one you can see their contact details, their contract position, how much they ordered and were billed this month, and what they still owe. This is also where you add a new customer and create the person who will run that customer's own portal.
Who can see it¶
Organisation staff signed in to the Control Tower. This screen does not have a separate permission of its own.
Where to find it¶
In the left-hand menu, under CUSTOMER PORTAL, select Customer.
What you see¶
A + Add customer button at the top right, then two areas side by side.
Customer table (left).
- CUSTOMER – name with a logo or initials.
- TYPE – Individual or Company.
- CONTRACT – a chip showing the customer's contract status, with the contract number and, within 60 days of expiry, the days left. Green for Active, amber for a contract due for renewal, blue for Pending, and red when there is no contract in force (none on file, or an ended one), because every order for that customer is then priced off the standard card. Select the chip to go to Contracts and rates.
- ORDERS MTD – orders this month.
- REVENUE MTD – revenue this month.
- OUTSTANDING – what the customer still owes; shown in red above 150,000.
- TERMS – payment terms.
- STATUS – Active or Inactive.
Detail panel (right). Opens for the first customer, and for whichever row you select. It shows the name, status, type and segment, then ADDRESS, CONTACT PERSON, CONTACT NUMBER, EMAIL, TAX / REGISTRATION NO. and PAYMENT TERMS, and a COMMERCIAL SUMMARY with ORDERS MTD, REVENUE MTD, OUTSTANDING and RATE CARD. The buttons are Edit and, for active customers, Deactivate.
What you can do¶
- Add a customer. Select + Add customer, complete the pop-up and select Create customer.
- Edit a customer. Select the customer, then Edit in the detail panel.
- Deactivate a customer. Select Deactivate and confirm in the prompt. The customer is marked Inactive; orders, invoices and contract history are kept exactly as they are. There is no button to reactivate on this screen; to bring a customer back, select Edit and set Status to Active.
- Check or set up their contract. Select the contract chip in the table.
Popups and panels¶
Customer editor¶
Opens from + Add customer (title New customer) or Edit (title Edit followed by the customer's name). Select the ? in its header for help.
- Customer name – cannot be changed after the customer is created, because orders and invoices refer to it.
- Customer type – Individual or Company.
- Address, Contact person, Contact number, Email and Tax / Registration No.
- Status – Active or Inactive.
- Customer administrator (new customers only) – the person who will sign in to the Customer Portal and invite the rest of that customer's staff. Enter Administrator name, Administrator email (their sign-in), Password and Confirm password. The administrator is created now with the password you choose; no invitation email is sent, so pass the details on to them yourself. The password needs 8 or more characters with an upper-case letter, a lower-case letter, a digit and a symbol; the pop-up ticks each rule off as you type, and tells you if the two passwords do not match.
- Customer logo – PNG, JPG or SVG. A logo can only be added to a customer that already exists, so save the customer first and then reopen Edit.
Create customer is available once a name and a valid administrator are filled in. Select Save changes when editing.

Tips¶
- A customer shows a red contract chip. They have no contract on file. Create one in Contracts and rates.
- I cannot rename a customer. The name is fixed once created.
- The administrator never received an email. None is sent for the customer administrator; give them the email and password you set. After they sign in they invite their own colleagues.
- Deactivating a customer does not delete anything.
